We're Looking for a Volunteer Recording Secretary

Help Shape Our Organization's Future

We're looking for an organized, detail-oriented volunteer to serve as our Recording Secretary – a vital role that keeps our monthly meetings running smoothly and ensures our organization's actions are properly documented.

 

What You'll Do:

 

As Recording Secretary, you'll be the official keeper of our organizational memory. Your primary responsibilities include:

 

  • Take clear, accurate minutes at our monthly meetings following Robert's Rules of Order

  • Document motions, votes, and decisions without transcribing every word

  • Distribute draft minutes to committee members in a timely manner and incorporate approved revisions.

  • Maintain organized records of all meeting materials

  • Track attendance and verify quorum.

  • Support meeting logistics by helping prepare agendas and materials.

  • Coordinate with other officers to ensure accurate documentation of party activities and decisions.

  • Provide administrative support during meetings, such as preparing printed agendas, collecting written reports from officers, and other light duties as assigned by the Chair.

 

What We're Looking For:

 

  • Must be a "bona fide" Republican voter, meaning you have voted in at least 3 of the last 4 statewide primary elections, which are: Aug '24, Mar '24, Aug '22, and Aug '20.

  • Obtain an official record of your voting history from the Davidson County Election Commission (or other areas where you have lived). Voting record(s) may be submitted at any time but are required prior to being appointed.

  • Strong attention to detail and organizational skills.

  • Proficiency with Microsoft tools such as Word, Excel, Outlook, as well as Google tools such as Docs, Sheets, and Gmail.

  • Proficiency or a willingness to learn Canva for other document creation, organization, and retention.

  • Ability to listen carefully and capture key information. We do not allow audio, video, or AI recording or transcription of our meetings.

  • Basic familiarity with (or willingness to learn) Robert's Rules of Order.

  • Reliable commitment to attend monthly meetings.

  • Comfort with technology for drafting and distributing minutes.

  • Objective, neutral approach to documentation.

 

Time Commitment:

 

  • Monthly meeting attendance (approximately 2 hours)

  • 2–4 hours of follow-up work after each meeting

  • Occasional correspondence or administrative tasks

You'll be creating the official historical record of our organization—ensuring transparency, accountability, and continuity for years to come. This role directly supports our governance and decision-making.
